committee charge
The Professional Staff Elections Committee supervises and administers all elections of the professional staff of the University Libraries in accordance with the Bylaws of the Professional Staff of the University Libraries (PEC Bylaws).
The Committee does the following:
- maintains a current list of voting members of the Professional Staff
- establishes necessary and detailed election procedures and policies, and records them in its Standing Rules
- distributes election results to all voting members of the Professional Staff as soon as is practicable after elections
- presents regular reports at the quarterly meetings of the Professional Staff
membership
The Elections Committee consists of three voting members of the Professional Staff. Each member is appointed for a two-year term. To assure continuity, there is rotation of membership, with two members appointed in one year and one member appointed in the alternate years.
conducting business
In November, the Elections Committee mails to each member of the Professional Staff an Elections Packet containing an Election Schedule, Current Roster, and a Declination/Affirmation form.
- The Election Schedule lists dates for the election, provides deadlines for returning the Declination/Affirmation forms and election ballot, and states the duration of the terms that newly elected Professional Executive Committee members shall serve.
- The Current Roster shows the members of the Professional Executive Committee and the expiration date of each member’s term.
- The Declination/Affirmation form contains instructions for determining eligibility, and a form for requesting that a Professional Staff member’s name should be included or excluded from the ballot. Members of the Professional Staff who do not return their Declination/Affirmation form will be omitted from the ballot.
The Professional Executive Committee election will be scheduled so that it can be completed by the third Tuesday in December.
meetings
Meetings of the Professional Staff Elections Committee are called by the Chair whenever necessary to conduct business which falls under the jurisdiction of the Committee. The yearly schedule is not set in advance.
