MAIL AND DELIVERY SERVICE


The Libraries Mail Room serves all units of the Libraries according to the following outline.


U.S. Mail and Campus Mail (incoming)

  • Serves all areas except HSL and Law
  • Law receives U.S. and campus mail directly via Campus Mail
  • HSL receives U.S. mail directly from U.S. Postal Service
  • HSL receives campus mail directly via Campus Mail
  • Director's Office receives some U.S. and campus mail via Campus Mail delivery to Capen

U.S. Mail (outgoing)

  • Serves all areas except HSL
  • HSL has its own postage meter

Campus Mail (outgoing)

  • Serves all areas except HSL and Law
  • HSL and Law are served directly by Campus Mail
  • Some campus mail originating from sites in Capen is deposited directly in a Campus Mail box in Capen

UPS and FedEx Ground (incoming)

  • Serves only locations within the Lockwood building
  • All other areas are served directly

Incoming Mail and Parcels

  1. The U.S. Postal Service delivers mail to Campus Mail. Campus Mail delivers U.S. and campus mail other than packages to the Mail Room between 8:30 and 9:00 each morning. The mail is sorted within 15 to 30 minutes and delivered as follows:

    CTS as soon as sorted, approximately 9:15 a.m.
    Lockwood as soon as sorted, approximately 9:15 a.m.
    Preservation as soon as sorted, approximately 9:15 a.m.
    Music 9:30 a.m.
    UGL 9:45 a.m.
    SEL 9:45 a.m.
    Earthquake 9:45 a.m.
    Archives 9:50 a.m.
    Poetry/Rare Books 9:50 a.m.
    Director's Office 9:50 a.m.
    HSL 10:20 a.m. (library mail only)
    APL 10:30 a.m.

                             
  2. U.S. parcel post and mail packages are delivered by Campus Mail between 10:30 and 11:45 each morning. These packages are addressed to CTS, Lockwood (usually ILL), Preservation and, occasionally, Earthquake. They are delivered as follows:

  3. UPS and FedEx Ground make deliveries between 11:00 a.m. and 2:00 p.m. daily. These parcels are for CTS and Lockwood. They are delivered as follows:

Outgoing Mail and Parcels

  1. U.S. and campus mail

    1. Mail is picked up from CTS, Lockwood, UGL, SEL, Earthquake, and Law prior to 8:00 a.m., and U.S. mail is metered with postage for pick-up the same day. Campus Mail picks up the U.S. and campus mail from the Mail Room between 8:30 and 9:00 each morning. The U.S. Postal Service picks up U.S. mail at Campus Mail about 12:00 p.m. the same day. Campus Mail delivers campus mail the same or following day depending on delivery schedule for addresses.

    2. Any U.S. or campus mail picked up after 8:00 a.m. is processed for the following day.

    3. After 8:00 a.m. on Fridays, letter and package mail are metered for the following Monday.

    4. The USPS will NO LONGER accept metered mail dropped in mailboxes. If an outgoing letter or parcel must be processed imediately and has missed the morning pickup, please contact the mailroom. There are alternate solutions.

  2. Outgoing UPS

    The mailroom's scheduled UPS pickup is daily between 1:00 and 2:00 pm. UPS picked up at the various units or delivered to the mail room prior to the arrival of UPS driver is processed for shipment the same day.

    UPS picked up at the units or delivered to the mail room after the arrival of UPS driver is processed for shipment on the following day.

  2. Boxes sent through library mail

    1. Boxes are picked up and delivered according to the same schedule as followed for other material; however, the quantity of outgoing boxes at any one location, weather conditions including unshoveled walks or ramps, and the quantity of material already on the van can result in our leaving some boxes for the next trip.

    2. Depending on the quantity of boxes of circulation returns at the end of a semester, additional trips to South Campus sites are expected.

    3. Depending on the quantity of boxes of circulation returns to be picked up or which are already on the van, it may be necessary to delay picking up other boxes.

Operation of Libraries Delivery Vehicle

  1. Vehicle Schedule

    1. The delivery vehicle operates according to the following schedule:

    2. Deliveries will be made to Crofts and the Beane Center. Such "hand deliveries" are limited to time sheets and personnel paperwork ONLY. See also Hand Deliveries section.

      • Delivery of work study timesheets (bi-weekly)
      • Delivery of temporary service timesheets (weekly)
      • Pick-up of petty cash checks (as needed)
      • Pick-up of keys (as needed)

  2. The vehicle must undergo scheduled maintenance twice a year and is subject to emergency repair work at other times. On days when the vehicle is undergoing service or repair, there is no service to South Campus sites. HSL and APL will be notified via UBLIB-L.

  3. On rare occasions, weather conditions and/or staffing levels may result in cancellation or delay of service to South Campus sites. Again, notification will be made via UBLIB-L.

  4. Other areas of the University Libraries are able to use the vehicle when that use does not conflict with regularly-scheduled trips. When possible, arrangements should be made 24 hours inadvance by contacting Joy Piper or Brenda Battleson at 645-2305.

Hand Deliveries

  1. Hand deliveries are strongly discouraged between sites on the North Campus spine and between locations on the South Campus.

  2. Hand deliveries are not always made directly to the addressee. Instead they are left with a library unit secretary, a secretary in a department, or under the addressee's office door.

  3. Hand deliveries are delivered as part of scheduled trips not as special trips.

  4. Cash is sent via hand delivery, and the security of these deliveries is essential.

  5. APT dossiers are sent via hand delivery, and the timely receipt of these deliveries is important.

Large Mailings

  1. The mail room accepts large mailings for staff when the Libraries are to be reimbursed for postage through a grant received by the staff member or by an organization.

  2. The mail room does not process bulk mailings (large mailings sorted by zip codes/subject to various regulations, and mailed at a reduced rate).

Special Services

  1. While not a U.S. Postal Service sub-station, the mail room does have U.S. Postal Service publications available and staff are prepared to respond to questions concerning postal rates and regulations. Rate calculators for USPS and UPS services are available online.

  2. When necessary, staff in the mail room process a trace for an undelivered UPS shipment or for certified or insured U.S. mail. First class mail, library rate and media rate mail is not traceable.
    UPS tracking is available online.

  3. The mail room processes outgoing certified, certified return receipt requested, and insured mail. It does not process outgoing registered mail.

  4. Incoming U.S. Postal Service express mail and overnight delivery is delivered to Campus Mail and then delivered to the mail room. Unless otherwise notified, the mailroom staff will deliver such parcels within the regular delivery schedule.

  5. The mail room is not a pick-up site for Federal Express. No supplies for using Federal Express are maintained in the mail room.

  6. The mail room is not a delivery site for Federal Express. For locations other than the Lockwood building, Federal Express makes direct delivery. For addresses in the Lockwood building, Federal Express leaves envelopes/parcels in the CTS Director's Office and the addressee is informed by telephone.
