CLOSING THE MAILROOM

Start the following procedures approximately 15 minutes before closing:

  1. Prepare outgoing U.S. mail:

    1. Band together U.S. mail according to the slots:
      • Stamped mail
      • Mail with 142- zip code
      • Other U.S. mail
      • International mail under 16 oz. (1 lb.)

    2. Place all first class mail in a white mail bin.
Include separete completed Campus Mail Services Request forms for international and domestic first class mail.

    3. Place international mail 16 oz. and over in a separate white mail bin.
Make sure each package has the proper completed customs labels and appropriate markings (air mail, letter post, etc.)
A completed “Target Mail” sheet should also be attached to each item. All of these items may then be placed in a separate white bin.
Include a completed Campus Mail Services Request form
    4. Place Library Rate material in separate buckets. These packages cannot be mixed with first class or international mail. Include a Campus Mail Services Request form in one of the buckets containing Library Rate Materials. Even if there are 5 buckets of Library Rate packages, only one form is required.
    5. Place all bins in the outgoing mail bucket.

  2. Log off of the computer but do not power down. Turn off any printers, speakers etc.

  3. Turn off all other machines, any fans, radios, heaters, etc.

  4. Close the overhead garage door and turn off the light.

  5. Lock the dock door. See the mailroom supervisor for the location of the keys.

  6. Lock the door leading to the extra supply room (where the outgoing mail bucket and UPS packages are stored.) Be sure that the ceiling heater is turned off (the switch is on the loading dock) and check to see that all computers have been returned.

  7. Lock the door leading from the dock entrance to the mailroom. It has a slam lock (small button on the side.)
  8. Lock the double doors leading to Acquisitions. Do not leave any dolleys or carts of outgoing ILL materials outside the mailroom (i.e. LandService bins). They should remain in the mailroom. Turn off all lights and close the remaining doors behind you.
